A business process is also defined as a set of functions and tasks that, once completed, will achieve an organizational goal. (Appian, 2020) The importance of business processes The need and benefits of a business process are evident in large companies. A process that creates the lifeblood of any business and helps streamline personal operations, ensuring that resources are brought to optimal use. Key reasons to have well-defined business processes • Identify what tasks are important for big business goals. • Performance Improvement Communication regulation between people or activities or departments. • Set up approvals to ensure accountability and optimal use of resources. • Standardize a few procedures to complete tasks that are very important to the business. (Kissflow Inc, June 11, 2020) Business process can be defined in three categories: 1. Operational Process 2. Supporting Process 3. Management Process Figure 2: Business process categories 1. Operational Process HNC/HND Computing 11 Figure 1: Business process An operational process is an organized set of functions or tasks that make up a particular service or product. For examples are: medical assessment process, drug approval process, financial process. Agent billing, trip booking, leave management process, business travel management process. (Rouse, September 2018) 2. Supporting Process Supporting processes or secondary processes: Processes that support key processes and functions within an organization. Examples of ancillary or management processes include accounting, human resource management, and workplace security. An important difference between operational and support processes is that support processes do not provide value directly to customers. Support processes do not directly create products or services, but are necessary to assist or assist in the implementation of operating or management processes. Examples of processes that support operating processes include supply procurement, inventory filling and machine maintenance. (Rouse, September 2018) 3. Management Process In the management process, all the work that comes under management matters is implemented. Building management, interior and exterior management, staff management, payroll management, etc. All these things are handled under this process of business process. It is the basic understanding of the management process to achieve certain goals related to a business, proper planning is done, then the plan is implemented and the process is guided and controlled. Senior executives are involved in this process. (Rouse, September 2018) Business process management Business process management is a strategy that companies use to ensure that their business processes run smoothly. This may contribute to process improvement by assisting management review, and can control organizational processes to ensure they are efficient and effective. HNC/HND Computing 12 Companies use BPM software to monitor and control automated and non-automated business processes and to improve their management processes. Business process management activities include steps like business process modeling, execution, monitoring and optimization. (Rouse, September 2018) Business process visibility Business process visibility provides a holistic view of each process of organizations, enhances operational response and speeds up decision making. Helps management teams determine if their processes are aligned with key business objectives and objectives, and to determine whether the procedures that help make a process successful work accurately. Business process monitoring can also help improve business process visibility by helping to identify possible problems. (Rouse, September 2018) Business process modeling or mapping Business processes are often visually depicted with a flow chart showing a sequence of tasks with certain definitions or end points. Business process mapping or modeling illustrates through graphs and diagrams how some processes flow to others. (Rouse, September 2018) There are some different ways to think about business process mapping and workflow. • Sequential business process: Sequential business processes are outlined in a document with clear starting and ending points. Following this process diagram, a company performs a series of actions to complete a task within the constraints of a predetermined timeline. • Status-driven business process: Status-driven business process does not have rigorous starting and ending points. These processes can be completed at any stage depending on workflow changes, the nature of the product, or office culture. HNC/HND Computing 13 However, at the same time, it also has the flexibility to customize questions to suit the situation, which is a feature of the unstructured interview. If we examine this analogy, we can see that structured data is less flexible, more organized, and stored in a defined format. At the same time, unconfirmed data is too complex and often provides quality information that cannot be matched with a pre-defined data model. Semi-structured data, on the other hand, include the characteristics of both types. Historically, businesses have focused only on extracting and analyzing information from structured data. However, with the development of semi-structured and unstructured data, businesses now need to look towards a solution that allows them to analyze all three types of data. Institutional quality tools such as the Astra Center Price may help. Center Price has built-in support for configured, semi-configured and unconfirmed data formats. The tool allows you to quickly capture data trapped in a different system, verify its quality, modify it to meet business needs, and export it to the data analysis layer. As a result, you can convert input data from your database, documents, emails, PDFs and various other formats into standard business publications, which can then be used to make important business decisions. In summarize, businesses need to analyze all three types of data and make more use of the information they have to advance beyond their competition. In this statement tells about the types of data such as structured, unstructured and semi-structured and different between unstructured and semi-structured data within an organization.
