SIX CS OF EFFECTIVE WRITING COMPLETENESS Effective writing includes everything the reader or decision maker needs to know. All questions are answered, no “loose ends” remain, and no confusion in what is being presented. Effective writing includes all relevant and critical facts and nothing more. All the necessary background information should be present to support the determination. Interesting or “nice to know” information only detracts from the message. ✓ Have you included everything that is important or pertinent to say? ✓ Did you tell the whole story using the fewest possible words? ✓ Have you answered the fact-finding questions: who, what, when, where, how, why? CORRECTNESS Effective writing focuses the reader’s attention on what is being said and avoids errors in typing, spelling or grammar. Using correct grammar and spelling will ensure that your reader is not distracted from your message. If you want your ideas to be respected, you must write correctly. ✓ Did you check spelling, names, numbers, grammar, and punctuation? ✓ Did you proofread your final drafts carefully, looking for errors? ✓ Spell check will catch spelling errors, but not misused actual words. Remember that the written record is a representation of you, the interviewer and the State agency. Avoid technical jargon and terminology. Verify all figures and dates.
