COVER LETTER GUIDE – EU TRAINEESHIP EDITION A cover letter is a document sent alongside your CV when applying for jobs. It acts as a personal introduction and helps to sell your application. A cover letter is necessary as it gives you the chance to explain to an employer why you're the best candidate for the job. The cover letter should not duplicate your CV but complement it, hence it should expand and add details and personalization to your CV. The consensus among recruiters regarding the length of these documents is that the shorter the better, so clarity and concision are keys. Just keep in mind that less is more. You will have the chance to talk at length about your experience during your interview. Before writing your cover letter it's important that you do your research. Be mindful of the differences between profit and non-profit organizations, for example. A cover letter addressed to a private company will be different from one addressed to an Institution (such as the enclosed example). LAYOUT AND STRUCTURE Header  Heading (your name and contacts)  Inside Address (name and address of the receiver)  Place and current date  Subject of the letter Opening Paragraph  Salutation  Introduction: Briefly say who you are and why you are writing. Body  Explain concisely what your degrees were about. Focus on the exams you took that can be relevant to the position you are applying for. Do not forget to mention your academic achievements like awards or publications, if there are any.  If you have relevant work experience, briefly explain your duties and what you learnt. Do not list work experiences that are irrelevant to the position.  Your motivation for applying. This can be the trickiest part, you do not have to show off, just make clear that you know what you are talking about, and that you know well what the role of the Institution is. Closing paragraph  Mention what the recruiter can find enclosed in your application (CV, Letter of motivation, References…) to be sure they have received them all.  Signature 2 Bonus tip for EU applications: get familiar with EU jargon This could help you to insert some of them in your motivation letter since it is a subtle way to demonstrate your interest and knowledge of the area where you will be involved. Some key terms are:  Cooperation  Fairness  Development  Integration  Solidarity  Diversity  Sustainability  Growth  Potential. Make sure you also understand the basic functioning/structures of the EU in order to use the correct vocabulary.
